Data processing

Data processing is, broadly, "the collection and manipulation of items of data to produce meaningful information." In this sense it can be considered a subset of information processing, "the change (processing) of information in any manner detectable by an observer."

Data processing functions

Data processing may involve various processes, including:
  • Validation – Ensuring that supplied data is "clean, correct and useful."
  • Sorting – "arranging items in some sequence and/or in different sets."
  • Summarization – reducing detail data to its main points.
  • Aggregation – combining multiple pieces of data.
  • Analysis – the "collection, organization, analysis, interpretation and presentation of data.".
  • Reporting – list detail or summary data or computed information.

History

The United States Census Bureau illustrates the evolution of data processing from manual through electronic procedures.

Manual data processing

Although widespread use of the term data processing dates only from the nineteen-fifties data processing functions have been performed manually for millennia. For examplebookkeeping involves functions such as posting transactions and producing reports like the balance sheet and the cash flow statement. Completely manual methods were augmented by the application of mechanical or electronic calculators. A person whose job it was to perform calculations manually or using a calculator was called a "computer".
The 1850 United States Census schedule was the first to gather data by individual rather than household. A number of questions could be answered by making a check in the appropriate box on the form. From 1850 through 1880 the Census Bureau employed "a system of tallying, which, by reason of the increasing number of combinations of classifications required, became increasingly complex. Only a limited number of combinations could be recorded in one tally, so it was necessary to handle the schedules 5 or 6 times, for as many independent tallies."  "It took over 7 years to publish the results of the 1880 census" using manual processing methods.

Automatic data processing

The term automatic data processing was applied to operations performed by means of unit record equipment, such as Herman Hollerith's application of punched card equipment for the 1890 United States Census. "Using Hollerith's punchcard equipment, the Census Office was able to complete tabulating most of the 1890 census data in 2 to 3 years, compared with 7 to 8 years for the 1880 census. ... It is also estimated that using Herman Hollerith's system saved some $5 million in processing costs"[5] (in 1890 dollars) even with twice as many questions as in 1880.

Electronic data processing

Computerized data processing, or Electronic data processing represents the further evolution, with the computer taking the place of several independent pieces of equipment. The Census Bureau first made limited use of electronic computers for the 1950 United States Census, using a UNIVAC I system, delivered in 1952.

Further evolution

"Data processing (DP)" has also previously been used to refer to the department within an organization responsible for the operation of data processing applications. The termdata processing has mostly been subsumed under the newer and somewhat more general term information technology (IT). "Data processing" has acquired a negative connotation, suggesting use of older technologies. As an example, in 1996 the Data Processing Management Association (DPMA) changed its name to Association of Information Technology Professionals. Nevertheless, the terms are roughly synonymous.

Disadvantages of Manual Systems

Slowness
Unreliability
Inaccuracy
Not Durable
Risk of Loss (fire/theft)

Time
It is much time consuming
Searching is time taking
Transmission takes time

Management
Often the books are lost
No proper records kept
Lots of Manual labor is required

Sharing
Cant share information by workers
Duplication of data occurs

Risks
If records book is lost data will be completely lost
Space taken by filling cabinets
Hand written data not always reliable
Human errors can be a problem

Mobile Computing

Mobile Computing is "taking a computer and all necessary files and software out into the field".Mobile computing is any type of computing which use Internet or intranet and respective communications links, as WAN, LAN, WLAN etc. Mobile computers may form awireless personal network or a piconet.
There are at least three different classes of mobile computing items:
  • portable computers, compacted lightweight units including a full character set keyboard and primarily intended as hosts for software that may be parametrized, as laptops, notebooks, notepads, etc.
  • mobile phones including a restricted key set primarily intended but not restricted to for vocal communications, as cell phones, smart phones, phonepads, etc.
  • wearable computers, mostly limited to functional keys and primarily intended as incorporation of software agents, as watches, wristbands, necklaces, keyless implants, etc.
The existence of these classes is expected to be long lasting, and complementary in personal usage, none replacing one the other in all features of convenience..

The advantage of mobile computing
Mobile computing helps accessing MIS away from the fixed workplace. Improves information accessibility Increases operational efficiency Enhances management effectiveness Access to data quickly from home, client office or car Improved decision making with information Increased productivity and reduced costs Improved customer relations Increased collaboration Saving Time & Costs (Working from home) Less Environmental Pollution (Less Transportation)

The disadvantages of mobile computing
  • Range & Bandwidth: Mobile Internet access is generally slower than direct cable connections, using technologies such as GPRS and EDGE, and more recently HSDPA andHSUPA 3G and 4G networks. These networks are usually available within range of commercial cell phone towers. Higher speed wireless LANs are inexpensive but have very limited range.
  • Security standards: When working mobile, one is dependent on public networks, requiring careful use of VPN. Security is a major concern while concerning the mobile computing standards on the fleet. One can easily attack the VPN through a huge number of networks interconnected through the line.
  • Power consumption: When a power outlet or portable generator is not available, mobile computers must rely entirely on battery power. Combined with the compact size of many mobile devices, this often means unusually expensive batteries must be used to obtain the necessary battery life.
  • Transmission interferences: Weather, terrain, and the range from the nearest signal point can all interfere with signal reception. Reception in tunnels, some buildings, and rural areas is often poor.
  • Potential health hazards: People who use mobile devices while driving are often distracted from driving and are thus assumed more likely to be involved in traffic accidents.[2] (While this may seem obvious, there is considerable discussion about whether banning mobile device use while driving reduces accidents or not.[3][4]) Cell phones may interfere with sensitive medical devices. Questions concerning mobile phone radiation and health have been raised.
  • Human interface with device: Screens and keyboards tend to be small, which may make them hard to use. Alternate input methods such as speech or handwriting recognition require training.

Q&A

What Are The Advantages And Disadvantages Of Computer Data Processing Over Manual Data Processing?

Advantages:

Speed: Computerisation helps in processing the data placed in several data files in no time. This is possible due to the high speed of computers for processing data and CPU of the computer works at the speed of electricity which is the highest ever attainable speed.
Accuracy: The data processed by the computer are highly accurate. The programs written on the system checks and controls data before and during processing. It detects invalid data and ensures high degree of accuracy and reliability of output reports.

Flexibility: The modern digital computers can be used for a variety of purposes. E.g. Online processing, multiprogramming etc.

Choice of Configuration: Wide ranges of peripherals are available for many computer systems, which allow business organization to select those which most suit its processing requirements.
Storage capacity: Large volumes of data can be conveniently stored, accessed and altered.
Management information: They can be used to provide useful information of management for control and decision making.

Data Processing: Computer has lifted the heavy data processing constraint with the manual system and has opened up new avenues for planning, control and data experimentation.
Volume: Computers can store volumes of data and can retrieve the desired information quickly. This is very useful in the areas like insurance, bank accounts etc where large number of documents is handled every day.

Database: Computer facilities the establishment of database. Such a database integrates data records and reduces data redundancy.

Reduction in paper work: The use of computers for data processing has helped the management of business organizations to cope with increasing problem of paper handling. The computers have speeded up the process and have eliminated the paper needs through the storage of data in elaborately constructed data bases and files.

Reduced cost: Though the initial investment for installing a computer is high, but it substantially reduces the cost of each of its transaction. Cost reduction occurs due to processing of huge data and record keeping.

Facilitates report preparation: Computer facilitates the preparation of various types of reports required by organizational executives for the purpose of decision making and control.
Reduce the space requirements: The use of computer for office activities reduces the requirements of office space which otherwise is required.

Reduces the manpower requirement: The number of persons required for performing various organizational activities will be reduced by using a computer system.

Increased ability to perform computations: Computers perform computations with a very high speed.

Diligence: Being a machine, it does not suffer from boredom, tiredness or lack of concentration, even if millions of computations are to be performed by a computer. It performs the calculations with same accuracy and speed.

Disadvantages:

· Power failure, computer viruses and hackers are the inherent problems of using computerized systems;

·Once data been input into the system, automatically the output are obtained hence the data being input needs to be validated for accuracy and completeness, we should not forget concept of GIGO (Garbage In(Input) Garbage out ( Output) and
Accounting system not properly set up to meet the requirement of the business due to badly programmed or inappropriate software or hardware or personnel problems can caused more havoc and Danger of computer fraud if proper level of control and security whether internal and external are not properly been instituted
